Duties of Transport Convenor

A Transport Convenor is responsible for managing the safe, efficient and punctual daily commute for students and faculty. They oversee bus routes, coordinate with drivers and bus in-charges, handle vehicle maintenance and RTA (Road Traffic Authority) compliance, and enforce discipline and safety protocols during transit.

Route Planning & Scheduling

• Route Design: Establishing and optimizing bus routes to maximize coverage while ensuring vehicles arrive at the campus by the designated start time.
• Student Allotment: Mapping students and staff to specific buses according to seating capacity.
• Schedule Adjustments: Notifying the students and staff community about route extensions, timing changes, or cancellations.

Vehicle Maintenance & Compliance

• RTO & Legal Compliance: Ensuring all college vehicles possess valid fitness certificates, insurance policies, pollution under control (PUC) certificates, and road tax payments.
• Routine Servicing: Scheduling regular mechanical checkups (daily, weekly, and monthly) to prevent breakdowns and maintain road safety.
• Breakdown Management: Arranging alternative transport in the event of a bus breakdown or emergency.

Daily Operations & Administration

• Staff Supervision: Monitoring the daily operations of drivers and faculty bus in-charges.
• Logbooks: Reviewing driver logbooks.
• Special Trips: Allocating buses for extracurricular activities, industrial visits, and placement drives.
• Budgeting: Overseeing the transport budget, processing transport fee data, and verifying vendor invoices.

Safety & Discipline

• Safety Protocols: Ensuring that safety measures like first-aid boxes, speed governors, and fire extinguishers are present and functional in every bus.
• Code of Conduct: Monitoring and handling student grievances or disciplinary issues (e.g., unauthorized boarding, misbehavior) during transit.
• Emergency Response: Serving as the primary contact for drivers and parents in case of route emergencies.

• Conducting meeting with all staff in-charges of buses once in three months
• Issuing ticket to the hostel students (at the time of traveling) through the bus supervisors
• Maintaining the ISO documents
• Maintenance of College ambulance
• Monitoring HODs' Transport
• Reporting to the superiors as and when required.
